I help companies improve productivity by removing repetitive manual work. This includes things like automated timesheet reporting, content generation and publishing systems, and recently, a full backup process from a company's Google Drive to Dropbox.
At first, this sounded like just another automation project. Copy files from one place to another. Nothing special. But this one revealed something important: even "simple" tasks can teach you a lot about building reliable solutions.
The company had more than 850 GB and 100,000+ files stored in Google Drive. One person was manually backing everything up by downloading zipped folders and re-uploading them to Dropbox. It was slow, bandwidth-heavy, error-prone, and expensive in terms of working hours.
When I started exploring how to automate it, my instinct was to code my own solution, which is a Python script talking to Google Drive API and Dropbox API. Although it worked, it quickly taught me something deeper: good automation is not about writing code. It is about solving problems with reliable, efficient, and maintainable solution.
That realisation changed the way I approached the problem. The technical tools were not the most valuable part. Of course, technology matters because it affects reliability, but tools alone are not the solution. In this case, the final setup used Rclone, a small droplet, and Zapier for the schedule trigger. However, the most valuable lessons came from the principles that shaped the whole solution. These principles apply to anyone who wants to automate smarter, avoid unnecessary complexity, and build reliable systems with minimal effort.

The (Real) Problem
At first glance, the challenge looked straightforward. However, the existing backup process relied entirely on one person doing everything manually. That alone created several hidden problems:
- Huge bandwidth use from repeatedly downloading and uploading more than 850 GB of data.
- Unstable internet connection, since the person used a home network.
- Time consuming.
- Redundant work, because only a small portion of the files changed, yet the entire process had to be repeated.
- Prone to human error. For example, missed important folders.
These issues are not unique to backup tasks. Any process that depends heavily on manual work is vulnerable to interruptions, delays, and human error. Even if the task is simple, repeating it consistently is difficult.
This is why the final solution needed to address the real problems: time, reliability, efficiency, and user dependency.
Principles for Designing Automation Solutions
Here are the principles I used to guide the solution. These principles can apply to almost any automation project, regardless of the tools involved.

Identify the main pain point
In this case, the biggest pain point was that someone had to manually download and re-upload files. This happened because there was no native tool for transferring data directly from Google Drive to Dropbox. The process was slow, unreliable, and far from efficient. Choosing a tool that could handle this entire flow automatically was the first and most important decision.

Use the simplest tools that reliably solve the problem
My first instinct was to write a custom Python script. It worked, but it was already growing in complexity. Every new scenario or cases required new logic. Choosing simpler, battle-tested tools such as Rclone reduced the surface area of problems significantly. There are faster, more advanced tools with features like parallel transfer or advanced caching, but the company valued maintainability over technical perfection. A stable ten-minute process at a reasonable cost is worth more than a risky three-minute one.

Design for failure, not success
Real systems face interruptions: network hiccups, API limits, file conflicts, and permission changes. The tool must be able to handle those moments and continue or recover gracefully. This is another reason why using a proven tool reduces "surprises".

Automate only what needs automation
Not everything needs a complex interface or a long list of features. The critical point was human dependency. The process required constant human attention and action. Removing those manual steps made the whole system far more reliable. Automation is valuable not only because it saves time, but because it removes steps where errors are likely to happen.

External visibility is as important as the automation itself
A process that runs silently can fail silently. There must be logs or notifications so the team knows when something succeeds or when something goes wrong. Automation without observability creates false confidence.
A Practical Example of the Final Solution
The final setup used three simple components.

Rclone for transferring files
Rclone is a mature command line tool that can sync files between many cloud storage providers. It automatically detects new or updated files, transfers only what is needed, handles retries, and supports large file structures without effort. The best part is that it replaces hundreds of lines of custom code with a single command.

A small DigitalOcean droplet as the execution environment
Instead of running scripts on a laptop or on a system that might shut down, a lightweight cloud server provided a stable environment for running Rclone. The droplet executed the backup, stored logs, and avoided issues caused by local internet failures.

Zapier for scheduling
Two automations (Zaps) were created:

Backup Trigger
Zapier called a webhook on a fixed schedule. The webhook created a droplet, started the backup, and sent a Slack notification when the process began. After the backup finished, the droplet triggered a second Zap.

Shutdown and Final Notification
This Zap shut down and destroyed the droplet, then notified the team on Slack about the final status, including errors if any occurred.

This setup avoided unnecessary infrastructure and remained easy for the company to understand and maintain.
Final Thoughts
Your situation may be different and your final solution may not look the same. Different tools, different constraints, different requirements. However, the core principles are almost always the same. Follow them, and you will create solutions that are reliable, simple, and effective.
